Event organization can be a great way to make money, especially when you work with trusted third parties. However, it is rare to do so without running into some problems. Fortunately, there is a lot you can do to minimize the severity and number of problems you will face both when planning and when running the event. The key to doing it right is by being a forward thinker and making use of any experience you might have in the field. Remember that the more ground you cover during the planning phase, the fewer problems you are likely to face during the execution phase. Some of the ways in which you can find solutions to event problems include:

Being Proactive

Being proactive simply incorporates anticipating problems that might arise and then putting measures in place to mitigate them. To some degree, this depends on experience with event organization. For instance, if you have ever attended or organized an event and noted a problem that you thought sabotaged it, you could put in place some measures to ensure that this does not happen during your event.
For instance, it is impossible to forecast the weather while organizing an outdoor event months in advance. Of course, you may schedule it throughout the summer to increase your chances of having nice weather. But we are all aware of how erratic the British weather can be! Therefore, you need to prepare for the worst-case situation unless you’re having your event in a remote location where the weather is (nearly) certain to be excellent. In this instance, it could include speaking with the venue to arrange to shift the event indoors if it starts to rain. Or, to make sure visitors are comfortable the entire time, you may set up covered spaces with outside heaters.

Keep A Keen Eye Out During The Event

It is absolutely conceivable that anything during your event might occur that is completely beyond of your control. It’s possible that it may be so strange and unexpected that you won’t have a backup plan. However, even if this does occur, you can lessen the amount of disruption they cause if you have a strategy in place for how these issues will be communicated and handled.

Make Sure There’s Adequate Communication With Your Team

or less catastrophic but potentially disruptive elements, ensure that the lines of communication are firmly open. Everyone working at your event should know who their go-to person is if a problem arises. This may not necessarily be you, but there should be someone who is contactable at all times should something happen. Make it clear how this person can be contacted. If it’s by phone, then ensure everyone has the correct contact number and all their phones are fully charged.
Some places may have bad reception indoors that makes using a phone challenging without going outside. If this is the case, think about using walkie-talkies or checking with the venue to see if there is a communications system you can use internally.
